Job Description:

This position is responsible for responding to guest requests for services and information and coordinating special projects as it relates to the Catering and Conference Services department of the Hotel Hershey. Functions include greeting and directing guests and providing information concerning their events and anticipating needs during their events.

Job Functions:

The candidate must have knowledge and/or experience in: Reservation procedures, including rooming lists, group blocks, interrelationship of hotel facilities to guest/sales objectives, role convention services plays in obtaining sales goals, importance of convention services in sales promotions; and, the importance of clear communications, effective planning and event accuracy.

A primary responsibility is to support such group items as F&B events, transportation amenities and assist with meeting coordination for the client including off property events from tasks as small as copy service to as remote as airport arrival.
Functions include assisting guests with faxing, photocopying, computer needs, or meeting room requests; answering telephones for the Convention Services Department and transferring calls to the appropriate person; typing correspondence, booking in-house meetings and detailing Banquet Event Orders for the Convention Services Department.
Other functions include working with the catering and conference planning team and clients to execute program details; collaborating with operating departments to execute special activities, menus, services, setups, A/V, meal functions, and meetings; executing details of functions on banquet event orders and floor plans as requested by the department; anticipating group needs; assisting with the coordination of operational needs for the Hershey DMC- Destination as requested and other conference planning requests as assigned by management.
Basic Qualifications:

Must be 18 years of age or older
Must have a valid driver’s license
Must have a high school diploma or equivalent
A minimum of (1) year experience in Convention Services OR Guest Services
Associates degree, preferably in Hospitality or a related field

Additional Qualifications:

RAMP certification preferred
Provide legible communication and direction.
Proven employee/guest relations, problem solving, and organizational skills.
Computer experience and proficient in Word and Delphi.
Professional image representative of property image.
Ability to model hotel’s standards, policies and procedures
Ability to prioritize and organize work assignments.
Ability to discuss food and beverage knowledgeably.
Ability to be a clear thinker in pressure situations and exercise good judgment.
Ability to focus attention on details.
Ability to anticipate guests’ needs and respond promptly
Ability to work without direct supervision.
Working Conditions:

Physical requirements include considerable walking and standing, hearing, speaking, reaching, and lifting/moving up to 35 lbs.
Schedule will vary according to operating needs, but will include early mornings, late evenings, weekends, and holidays.
